Review gates and see who runs wait on
Approve, request changes or override a gate, discuss work, read the timeline, and find what is stuck
A step with approval conditions moves to Awaiting gate when it is marked done. It stays there until its approvers decide or someone accountable overrides the gate. Anyone signed in can read a gate, its comments and the timeline.
Decide a gate
Open the step, or choose Review on its node. The Gate section in the drawer lists each condition: the approver, whether they are the step Owner, the run Requester or Named, the status, and when it last changed. Only the decisions you can make right now appear.
| Decision | Who |
|---|---|
| Approve | An approver with a condition still pending |
| Request changes | Any approver of the gate, even after approving |
| Override | The step owner or the run requester |
Approve
Add a note if you want, then choose Approve. One approval covers every pending condition you hold. Other approvers can still decide, and the step keeps waiting for them. If you change your mind while it is waiting, choose Request changes.
When yours are the last pending conditions, the button reads Approve and pass. Choose Confirm pass to finish. The step passes and cannot be reopened, and any steps waiting on it can start.
A final approval only ever happens through Confirm pass. If you choose Approve on a page that is out of date and other approvers have since finished, nothing is approved. The gate refreshes, your note stays, and Confirm pass appears so you can decide. A confirmation also closes by itself if the gate changes while it is open, so it never applies to a review you did not see.
Request changes
Choose Request changes, enter a note, and submit with the button or Cmd or Ctrl+Enter. The note is required. The step returns to In progress with every submission kept.
The next Mark done starts a new review round, so every condition is pending again, including ones already approved. The gate shows the current round only. Earlier notes stay in the timeline.
Override
Choose Override. The dialog names the approvers you are bypassing and asks for a reason. Override and pass passes the step straight away and cannot be undone. Approvals already given stay as they are. Pending conditions record the override and your reason. Back or Escape changes nothing.
If the gate changed
Every decision applies to the gate as you loaded it. If someone else acted first, a message says so, the gate refreshes, and your note stays in its field. If you can no longer make that decision, the note stays on screen with a warning so you can copy it, and Discard removes it.
Comment
Anyone signed in can comment on any step, in any state, including on completed and cancelled runs. Comments never change a step's state.
- Comments on a step sit below the deliverables.
- Comments on a version sit under each deliverable and beside a document. The history shows how many each version has. The thread starts on the latest version and stays with that exact version, so choosing v1 shows only the comments made on v1.
Write in the box and choose Post, or press Cmd or Ctrl+Enter. URLs become links. Markdown is shown as source and is not rendered.
Comments cannot be edited or deleted, so post a follow-up to correct one. Each draft belongs to its step or version and survives switching versions, background refreshes and failed posts. If you try to leave with unsaved text, the app asks first. A comment draft does not hold back Mark done.
Read the timeline
Choose Activity on a run to open its Timeline, oldest first. Each line has the time, who acted (or System), and a sentence. Comments, change requests and overrides include their text. When a decision moves a step, the same line says where it went. Work done for an agent reads "for" the agent's name. Load more shows the rest of a long run.
Find what is stuck
Ages are the only stuck indicator. There are no thresholds or alerts, and pages do not update by themselves while you watch. Ages tick over once a minute. Hover or focus an age for the exact time.
- On a run: Waiting on in the header lists each party with their role, step and age, oldest first. Completed and cancelled runs wait on nobody.
- Waiting on me: lists the steps waiting on you across runs, oldest first, with the count in the navigation. Choose a row to open the step. It shows at most 100, and reads Showing the oldest 100. when there are more.
- Runs: set Sort to Oldest waiting. This shows up to 50 running runs, oldest wait first, and there is no Load more. It selects Running. Choosing All, Completed or Cancelled returns the sort to Recent.
Waiting on me covers steps you execute and gates you still need to approve. Owning a step whose executor is an agent does not put it on your list, even though you can act for that agent. Those steps still appear on the run and in its Waiting on row.
